Class of 2014 Graduation and Year End Schedule Information

To the PARENTS/GUARDIANS:

Seniors must pass all required courses in order to meet graduation requirements.  Should they fail one or more courses, they will need to make up the required courses in order to receive their diploma.  Credit recovery will be offered during summer school. 

If your child receives a mid-term Quarter 4 progress report indicating that he/she is currently receiving a “D” or “F” in any class, there is still time to pass the class. Seniors are strongly encouraged to work with their teachers to successfully complete their courses.  Seniors not receiving Quarter 4 mid-term progress reports should continue to work to ensure their successful completion of their courses.  Parents/guardians are encouraged to utilize parent portal to monitor students’ progress.

In order to participate in the graduation ceremony, the student must be within 2.25 credits of the total credits needed to graduate.  The student must sign a form indicating that he or she will attend summer school to gain the needed credits. The counselors will complete another credit check on all seniors once 3rd quarter grades are final. The counselor will then contact families who have a student in jeopardy of not graduating. The student must have passed at least one of the state-mandated Graduation-Required Assessments for Diploma (GRAD).  Students need to have passed either the GRAD Reading test or the GRAD Writing test or the GRAD Math test or met the GRAD Math test rule (three attempts and intervention). The State GRAD testing requirements may also be met. Through other options which include successful completion of the ACT + writing, SAT, and/or MN Accuplacer Placement test.

Colleges will also receive and review second semester grades.  Offers of admission are conditional based on maintaining previous academic level.  Students failing to maintain their established academic level may find their offers of admission rescinded or may be placed on academic probation to start their college education.

Seniors will meet with counselors in May to request final transcripts and to complete their My Life Plan graduation requirements.  All final transcripts to colleges will be sent out no later than June 20th with no additional cost to you.  Seniors are strongly encouraged to clear all obligations ASAP. There are 4 areas seniors need to be cleared in prior to distribution of cap/gown. These would include Barb Mahal – Counseling Office for transcript fees: Ryan Lamberty in the Athletic office (Rm. #6) for athletic obligations/fees; Media Center Staff for any Media Center obligations and Barb Gebhardt in the lunchroom for obligations.  Payment by check is accepted through May 16th. After May 16th, cash only. Checks can be made payable to Southwest High School.

 WHAT IS THE LOCATION OF GRADUATION?

Graduation will be held at the Minneapolis Convention Center – Downtown Minneapolis - 1301 – 2nd Ave S. The ceremony will begin promptly at 8:00 p.m. The Convention Center does not allow noisemakers, balloons, banners etc. Doors will open at 7:00 p.m.              

IS THERE GRADUATION REHEARSAL AND A COST FOR GRADUATION?

Yes, there will be a mandatory rehearsal on Thursday, May 29th at 9:30 a.m. at Southwest High School in the auditorium. Yes, there is a small cost. Every senior must pay a $35 fee at this time. CASH ONLYNO CHECKS. This fee will be collected at rehearsal. The district covers the cost of cap/gowns. The $35 helps cover the rest of costs associated with graduation (programs, rental fees of the Convention Center, security etc.).

WHEN WILL THE SENIORS RECEIVE THEIR CAP/GOWN?

Immediately following practice on Thursday, May 29th.

 DO WE NEED TICKETS TO ATEND?

No tickets are required to attend.    

 IS THERE A LIMIT TO HOW MANY CAN ATTEND?

No. All family and friends are welcomed to attend. Feel free to sit anywhere in the open sections. There will be a reserved area for the graduates. Any overflow can view on TV’s in the lobby.

CAN WE GET DIRECTIONS AND PARKING INFORMATION?

Enclosed you will find a map relating to the parking options and directions to the Convention Center. Parking in the Convention Parking Ramp on average runs around $9 for the evening.

WHAT TIME DO THE SENIOR’S NEED TO BE AT THE CONVENTION CENTER?

Check in will begin at 7:00 p.m. in Ballroom A.  All seniors need to be checked in and ready to line up no later than 7:20 p.m.  We will then go over last minute instructions with the class. Please remind your graduate that they may not carry any purse, back pack, or additional items into the auditorium during commencement. If they keep a cell phone, it must be turned OFF during the ceremony.

WHAT HAPPENS AT TH END OF THE CEREMONY?

The class of graduates will exit first and proceed directly back to Ballroom A.  They must pick up their diploma immediately following the ceremony in Ballroom A and before checking into the Senior All-Night Party. 

WHAT ARE THE RULES ON PICTURE/VIDEOTAPING?

You must remain in your seats during the ceremony when taking pictures or videotapingOnce again, no one is allowed by the stage except the graduates, dignitaries, orchestra and choir members. We have Graduation Images www.gradimages.com once again to take still photos of all seniors accepting their diplomas.  Each senior will receive a free 5 x 7 mailed to their homes. We also have Location Images www.iDream.tv making a DVD of the evening.  Information for both of these is enclosed. We’ve been very pleased and confident with both companies over the past years and know they will do an outstanding job.

WHAT AND WHERE IS THE SENIOR ALL-NIGHT PARTY? The annual All Night Senior Party (for seniors only) will be held at the Chaska Community Center on Tuesday, June 3rd immediately following the graduation ceremony. This party is a “lock-in” event from the time the students check in at the Convention Center (Ballroom A) until they return by bus early Wednesday morning. Bus transportation to and from the party is mandatory.  This is a safe, fun, parent-chaperoned event that will allow the class of 2014 to celebrate together.  Registration information will be mailed to seniors in late April and will also be available on the SWHS website and in the SWHS main office. There is a cost of $55 when registered on or before May 23rd or $65 after that date.  The fee covers the cost of food, entertainment, venue rental fee. Financial assistance is available. Registration forms will be mailed home to families in late April. A final reminder to all families and friends of the graduates

Because of the importance of this event, we ask your cooperation in making the ceremony a reflective but joyful event for all. We respectfully ask all families to abide by the following guidelines once the event starts.

 PLEASE turn off all cell phones and any other electronic devices during the ceremony.

 PLEASE be respectful to others around you by keeping  your talking to a minimum during the ceremony.  People around you are trying to listen to the speakers.

 PLEASE remain in your seats throughout the ceremony.  The fire code prohibits anyone from being in the aisles.

PLEASE remain in your seats until all the graduates have marched out.  Meet your graduate in Ballroom A following the ceremony.
